OpenAI has published a new official guide dedicated to the effective use of the ChatGPT language model for creating corporate texts and business communication. The training material is addressed to specialists who regularly face the need to prepare emails, memos, presentation scripts, and answers to frequently asked questions. Using the neural network helps overcome the so-called blank page syndrome, especially in situations of time shortage or when it is necessary to choose the right tone for a specific audience.

The proposed concept is based on a standardized four-stage algorithm: planning, drafting, editing, and final packaging of the material. At the initial stage, the user needs to clearly define the message's goal, target audience, and expected actions from the reader. After receiving the basic text array, the refinement stage begins, where readability is improved, length is adjusted, and tone is set. The final step involves formatting the content for a specific communication channel, be it a short email to management or a one-page report. The guide specifically notes that the generation result should always be considered exclusively as a draft requiring human verification, rather than as a final and unconditional version of the document.

To achieve the best results, OpenAI specialists recommend formulating the query in one or two sentences and providing the chatbot with maximum context in the form of scattered notes, theses, or draft entries. The quality of the final text directly depends on the established limitations: users are advised to explicitly state the need to avoid professional jargon, exclude internal company names, or adhere to a strictly neutral style. If a text that is easy to skim is required, the neural network should be asked to add headings and break the information into short paragraphs.

An important part of the workflow is iterative interaction with artificial intelligence by providing specific feedback. The guide warns against using abstract commands like requests to "make it better," suggesting instead specific instructions, for example, to reduce the volume by a quarter or clarify the call to action. Several targeted edits of the same text usually prove more effective than constantly generating messages from scratch. Mastering such techniques not only significantly speeds up routine processes for organizing ideas but also allows the same basic message to be quickly adapted for different audiences, transforming into an executive summary or a team update without the need for complete rewriting.
